What AFK is for

AFK is an internal tool for the Product team. It shows who is at the office, working remotely, on leave or out of office, today and over the week. It is published by One Tale Studio SRL (Belgium) on behalf of the team.

Data we process

• Work identity: name, work e-mail address, job title, team, manager.
• Declared statuses: type (office, remote, leave, out of office), dates, half-day, optional note, approval state and who approved it.
• Google sign-in: only the e-mail address, name and profile picture provided by Google. No access to your e-mails, files or personal calendar.

Purpose and legal basis

Organising team presence and the approval of absences. Processing relies on the employer's legitimate interest in organising work. No data is used for commercial purposes or shared with third parties.

Who sees what

Statuses are visible to every team member signed in to AFK. Optional notes are visible to the approving manager. Nobody else has access to the data.

Hosting and processors

• Application: Vercel, functions run in Europe (Paris).
• Database: Supabase, hosted in Europe (Frankfurt).
• Authentication: Google, to sign in with your work account.

Cookies

AFK only uses technical session cookies to recognise you from one page to the next. No advertising or analytics cookies.

Retention

Statuses are kept as long as needed to organise the team, then deleted. Your account is disabled and your data erased when you leave the team, within three months at the latest.

Your rights

You can request access to, rectification or deletion of your data, or object to the processing, by writing to hello@onetalestudio.com. You can also lodge a complaint with the Belgian Data Protection Authority (dataprotectionauthority.be).
